Requests for sharing email will generally fall into one of the four categories below:
1. A Distribution List
This is essentially a collection of other email addresses or users, and is mostly used for internal communication. You cannot send from this email address. An example of this might be LivingRoomStaff which would have the email address (LivingRoomStaff@youthprojects.org.au)
Everyone in the group will receive an email sent to this address.
2. A Shared Mailbox
This is a good tool for working with a 'shared identity' where one or more users can access an inbox and calendar that is separate from their own work address. An example of this might be where John Smith and Joe Bloggs both work part time in the role ReferralSupport which might have the email address ReferralSupport@YouthProjects.org.au.
It is also an option that can be enabled so that John and Joe can send from this mailbox. That way there is only one 'identity' that a customer has to deal with. Be cautious to use appropriate email signatures so that there is no confusion who is emailing!
3. A Team or 0365 Group
These will usually be created around work functions like departments and projects. As well as a shared email address, these come with a 'Team' in MS Teams, a SharePoint Site and more collaboration tools and features to enable you to work with colleagues.
4. An Alias
Rarely, it may be appropriate to have an alias for your own email address. This may be appropriate say if someone changed their name, or their account was created with a non-preferred name.
How to request one of these options?
Create a support ticket to discuss your requirements or request one of these groups. Some email addresses or groups may require management approval before being created.
